It is 0.6 miles (12 minute walk) from West Road Concert Hall to where the drinks reception will be held in Trinity College (in the open colonnade under the Wren Library).
Cambridge is situated in the East of England, 60 miles North of London and very well placed for access by road, rail and air.
Below you can find some facts and links to useful web sites to help you give your delegates the most up-to-date travel information.
Cambridge has a fast train service to and from London Kings’ Cross, which is adjacent to St Pancras for Eurostar connections. The journey takes approximately 45 minutes and several fast trains depart each hour, to check exact arrival and departure times please visit National Rail. Cambridge has two train stations, Cambridge and Cambridge North, the latter is convenient for venues in the north of the city and the Cambridge Science Park, most delegates will arrive into Cambridge train station which is situated a mile from the historic centre. Frequent local buses and taxis are available for those who would prefer not to walk.
London Stansted is situated 30 miles south of Cambridge and offers a number of routes to and from Europe and other UK destinations. Direct routes to Cambridge by National Express bus services and trains are available and taxis are plentiful.
For delegates that prefer to drive, Cambridge offers a number of Park & Ride sites on the outskirts of the City and journey times into the centre take just a few minutes. If overnight parking is required for your delegates we can offer group rates for central parking locations, Cambridge City Council can offer more information on this service. Everyone entering the UK must have a valid passport, or in the case of European Union Member States, a national identity card. Visitors are advised to check what form of ID is required by their airline carrier before travelling. Some airlines within Europe will only accept passport identification.
Visas are required by delegates travelling from some countries. You can apply for a Standard Visitor visa if you want to visit the UK to attend a conference. We would encourage all delegates to check with their local UK representation and with your travel operator if your originating country requires a visa. For further information, please see the UK government website for advice and guidelines on visas and immigration.
Delegates who require a visa will require a letter of booking confirmation from the conference office by emailing email@example.com. Once your registration has been completed and paid in full we would be delighted to issue this letter for you. Please email the conference office. Please note that we cannot issue a letter until your registration and payment is completed in full. It is advisable that you have booked and paid for accommodation for the duration of your stay. This should be included with your visa application.
Note that VISA applications can take some weeks for the UK. We would encourage all delegates to ensure that you have left ample time.
Registration will open at 08:00 on Wednesday 11th September. Ensure that you pick up your badge and conference programme from the desk. Lunch, refreshments and your conference dinner are included in your registration fee and those that have stated dietary requirements upon registration will be catered for. Please can those who have requested a gluten-free option (or a specific dietary requirement), make yourself known to the catering team. Badges must be worn at all times during the satellite meeting.

The symposium will open with the Vice Chancellor of the University of Cambridge at 09:00. Lunch and refreshments are included in your registration fee and those that have stated dietary requirements upon registration will be catered for. Please can those who have requested a gluten-free option (or a specific dietary requirement), make yourself known to the catering team. Badges must be worn at all times during the symposium.
There will be a private and accessible room at both meetings, which will be available at the conference venue for parents with young children which will include baby changing facilities, refreshments and a private nursing space.

An unattended cloakroom and coat racks will be found in close proximity to the lecture theatre in both venues where you can store your coat/luggage at your own risk.
All payments by external delegates (who are not invited guests) must be made prior to the meetings unless you have made alternative arrangements with me directly. Unfortunately, we will be unable to take payments at the conference. Online payments can be made on the following link.
Please note that members of University of Cambridge will be charged on a Departmental/Institute basis. If you have made a payment online, your Department will not be charged again. Please refer to the cancellation policy below.

If you have registered to present a poster, please ensure that your poster has been put up before the first refreshment break at 10:20 on Thursday 12th September. Poster boards will be numbered and Velcro will be provided.
The poster exhibition will take place in the foyer and recital room and will run for the duration of the symposium. Please ensure that your posters are removed by 17:00 on Friday 13th September.
Please check your poster number in the symposium brochure. If you did not submit your abstract before the printing deadline, it will not appear in the brochure but rather on a ‘late abstract’ loose insert.
The first day, presenters with odd numbered posters are asked to stand by their posters during the main break (13:30-14:30), and the second day presenters with even numbered posters are asked to stand by their posters during the main break (14:00-15:00). This is the minimum requirement and of course you can stand by your poster and discuss your results at any other time in addition to this. This schedule allows presenters to view other posters.
There will be a data blitz session on Thursday and there will be two poster prizes for young investigators so please be on the look out for our poster judges!
The drinks reception will take place on Thursday 12th September from 18:30 pm outside in the Cloisters at Trinity College, before dinner in the Great Hall. Gates will be open on Queens’ road (nearest entrance from West Road) in addition to the main gate on King’s Parade.
You will be unable to attend this event unless you have prebooked this option upon registration. You will receive a separate email to confirm your attendance at dinner. There is an additional charge for delegates (who are not invited guests) attending the gala reception and dinner.
The dress code for dinner is smart casual. Many will wear lounge suits (with/without ties) or female equivalent but it is not obligatory.
Please let a server know about your specific dietary requirements.
