It is 0.6 miles (12 minute walk) from West Road Concert Hall to where the drinks reception will be held in Trinity College (in the open colonnade under the Wren Library).

Cambridge is situated in the East of England, 60 miles North of London and very well placed for access by road, rail and air. Below you can find some facts and links to useful web sites to help you give your delegates the most up-to-date travel information.

Cambridge has a fast train service to and from London Kings’ Cross, which is adjacent to St Pancras for Eurostar connections. The journey takes approximately 45 minutes and several fast trains depart each hour, to check exact arrival and departure times please visit National Rail. Cambridge has two train stations; Cambridge Central and Cambridge North. The latter station is convenient for venues in the north of the city and the Cambridge Science Park. Most delegates will arrive into Cambridge Central train station, which is situated a mile from the historic centre.

Frequent local buses and taxis are available for those who would prefer not to walk.

London Stansted is situated 30 miles south of Cambridge and offers a number of routes to and from Europe and other UK destinations. Direct routes to Cambridge by National Express bus services and trains are available and taxis are plentiful. London Gatwick, London Heathrow and London Luton are all within 1-2 hours drive of Cambridge and accessible by public transport via connecting bus and train services in London.

From Cambridge station you can catch the Universal/Route U bus to the University Library stop on West Road approximately 50 metres from our front door. You can check the bus timetable in advance and use this interactive map to see live bus times.

The Concert Hall is a 10 to 15 minute taxi ride from the railway station.

For delegates that prefer to drive, Cambridge offers a number of Park & Ride sites on the outskirts of the City and journey times into the centre take just a few minutes.

Madingley Road Park & Ride, just off Junction 13 of the M11 to the west of Cambridge offers free parking for up to 18 hours, after which charges apply.

The Universal/Route U bus runs from Eddington Avenue (Madingley Road Park stop), adjacent to the Park & Ride site to West Road (University Library stop) approximately 50 metres from our front door.

Parking is not provided at West Road Concert Hall for delegates. Information about city centre parking can be found here.

Pay & display parking on West Road costs £1 per 30mins Monday-Sunday from 9am-5pm, max 4hr stay.

The nearest unregulated streets are Herschel, Adams and Cranmer Roads, a 10 minutes walk away on the other side of Grange Road.

Cambridge City Council provides details of the closest electric vehicle charging locations.

Everyone entering the UK must have a valid passport, or in the case of European Union Member States, a national identity card. Visitors are advised to check what form of ID is required by their airline carrier before travelling. Some airlines within Europe will only accept passport identification.

Visas are required by delegates travelling from some countries. You can apply for a Standard Visitor visa if you want to visit the UK to attend a conference. We would encourage all delegates to check with their local UK representation and with your travel operator if your originating country requires a visa. For further information, please see the UK government website for advice and guidelines on visas and immigration.

Delegates who require a visa will require a letter of booking confirmation from the conference office by emailing coordinator@neuroscience.cam.ac.uk. Once your registration has been completed and paid in full we would be delighted to issue this letter for you. Please email the conference office. Please note that we cannot issue a letter until your registration and payment is completed in full. It is advisable that you have booked and paid for accommodation for the duration of your stay. This should be included with your visa application.

Note that VISA applications can take some weeks for the UK. We would encourage all delegates to ensure that you have left ample time.

Registration will open at 08:00 on Wednesday 10th September. Ensure that you pick up your badge and conference bag from the desk. The symposium talks will start at 09:00 on both days. Lunch and refreshments are included in your registration fee and those that have stated dietary requirements upon registration will be catered for. Please can those who have requested a gluten-free option (or a specific dietary requirement), make yourself known to the catering team. Badges must be worn at all times during the symposium.

There will be a private and accessible room, which will be available at the conference venue for parents with young children which will include baby changing facilities, refreshments and a private nursing space. Please let us know if you plan to bring your baby.

An unattended cloakroom and coat racks will be found in close proximity to the lecture theatre where you can store your coat/luggage at your own risk.

All payments by external delegates (who are not invited guests) must be made prior to the meetings unless you have made alternative arrangements with me directly. Unfortunately, we will be unable to take payments at the conference. Online payments can be made on the following link.

Please note that members of University of Cambridge will be charged on a Departmental/Institute basis. If you have made a payment online, your Department will not be charged again. Please refer to the cancellation policy below.

If you have registered to present a poster, please ensure that your poster has been put up before the first refreshment break at 10:25 on Wednesday 10th September. Poster boards will be numbered and Velcro will be provided.

The poster exhibition will take place in the foyer and recital room and will run for the duration of the symposium. Please ensure that your posters are removed by 17:00 on Thursday 11th September.

Please check your poster number in the symposium brochure. If you did not submit your abstract before the printing deadline, it will not appear in the brochure but rather on a ‘late abstract’ loose insert.

The first day, presenters with odd numbered posters are asked to stand by their posters during the main break (12:25-13:50), and the second day presenters with even numbered posters are asked to stand by their posters during the main break (13:30-14:50). This is the minimum requirement and of course you can stand by your poster and discuss your results at any other time in addition to this. This schedule allows presenters to view other posters.

There will be a data blitz session on Wednesday and there will be two poster prizes for young investigators so please be on the look out for our poster judges!

The drinks reception will take place on Wednesday 10th September from 18:30 pm outside in the Cloisters under the Wren Library at Trinity College, before dinner in the Great Hall. Gates will be open on Queens’ road (nearest entrance from West Road) in addition to the main gate on King’s Parade.

You will be unable to attend this event unless you have pre-booked this option upon registration. You will receive a separate email to confirm your attendance at dinner. There is an additional charge for delegates (who are not invited guests) attending the gala reception and dinner.

The dress code for dinner is smart casual. Many will wear lounge suits (with/without ties) or female equivalent but it is not obligatory.

Please let a server know about your specific dietary requirements that you have indicated upon registration.

We take receipt of a completed registration form as acceptance of the terms and conditions as stipulated and subsequent payment must be made using the online payment system.
Cancellation of your conference registration will only be possible before the following dates by sending an email to coordinator@neuroscience.cam.ac.uk
Cancellation before 1 September 2025: 100% refund of registration fee
Cancellation after 1 September 2025: no refund
Cambridge Neuroscience is not responsible for accommodation bookings for the conference. Any cancellation policy should be checked with the hotel/College when a reservation is made and claims should be made directly with the hotel/College.
Payment by external delegates must be received in full prior to the conference. Access will not be permitted if full payment has not been received.
Delegates who do not attend the conference (and have not cancelled their registration within the correct time frame) will be charged accordingly.
